Overview

Once all bookings are complete and an event weekend is approaching, driver data must be imported into Alpha Timing (AT) Admin to ensure timing data is recorded for all drivers participating in any FKL event.

Importing Driver Lists

Export driver list from OD

Export the relevant driver list from the OD for the session — Sat AM, Sat PM, or Sun Race. See Exporting Data to Alpha Timing for steps.

Select the correct hub

Once in AT, confirm the correct hub is selected — check the top left next to the house icon.

Open the event

Click on the relevant event you need to import drivers to.

Navigate to Import Entries

Open the event, select the TOOLS dropdown, and select Import Entries.

Upload the CSV file

Click CHOOSE FILE and select the CSV file exported from the OD. Once selected, click Upload File.
Always make sure you select the correct file to import. Importing the wrong file will require you to manually delete every entry from the event in AT.

Map the fields

Ensure the correct fields are mapped for the import. Fields required are: First Name, Last Name, ClassCode, CustomerIdentifier, fklid, and Level.If you have done an import before, select the latest field mappings used and they will automatically populate.

Complete the upload

Once all mappings are filled, press NEXT, select the UPDATE Customer Details dropdown, then click Upload. Wait for the upload to complete.

Last Minute Bookings

There may be cases where last minute bookings come in and require the import process to be repeated.
Ensure the person allocated to this task has access to the Teams Channel FKL [HubLocation] PROD, where notifications are raised each time a booking comes in.

Open the notification

Click the notification in the Teams FKL PROD channel.

View the ticket

Select Click here to view ticket.

Export the driver

Open the ticket and click the green button (hover to confirm it says Export to AT). Amend power level and class if necessary, then export the file to download a single ticket CSV.

Import into Sign On website

Import the CSV into the Sign On website and repeat the Sign On process.

Export all to AT

Once Sign On is complete, export all to AT as normal.
If you do not add the last minute driver into the Sign On website, they will not be in Driver Training and will not be allocated a kart or appear on the coach’s tablet.

Moving a Driver to a Different Class

If a driver needs to be moved to a different class, this must be updated in both AT and on the ticket in the OD.

Open the driver profile in AT

Select the event, then select the class the driver is currently booked into. Select the driver’s name to open their profile.

Use the Task menu

In the bottom left corner, find the Task section. Click it and select Move to different class (for the same event).

Select the correct class

Select the correct class and click Update Entry.

Re-sync entries

Ask the timekeeper to re-sync entries on the timing software so the driver’s data is updated and recorded correctly during sessions.

Deleting a Driver from an Event

Open the driver profile in AT

Select the event, select the class they are in, and select the driver to open their profile.

Remove the driver

At the bottom right of the profile, click Remove to delete the entry entirely from the event.

For all FKL Hub 1 events, all parents of drivers must sign a declaration acknowledging that motorsport is a dangerous activity. For Regional Events and Saturday practice, the form is created by FKL. For Pro Events, FKL uses a Motorsport UK (MSUK) standard disclaimer. Links are sent to all drivers on Thursdays prior to an event and resent up to three times until all drivers have signed. A verbal reminder is also given during the driver’s briefing on event day.

Select the event

Select the desired event from the list in AT.

Send sign-on links

Select MESSAGES and then Send Signing-on Links.

Confirm and send

A page will open confirming the email text. Scroll to the bottom and select SEND EMAIL.

Check sign-on status

To view sign-on status or missing signed forms, select RECEPTION, then select the event and view the number of NO entries under sign-on.

Resend if needed

Use Resend Sign-on Links to re-send only to drivers who have not yet completed the form.
